AI automation for professional services that frees the team from back-office work.

Invoice and expense extraction, client hours reporting, contract compliance review, deadline monitoring and bank reconciliation, unattended workflows with an audit trail on every decision.

The workflows, examples and figures on this page are illustrative composites and modelled targets, not measured client results. In a real project, we define the baseline, thresholds and human review with your data before rollout.

What we solve

Your firm bills by the hour and those hours disappear into admin.

Invoices land in a shared inbox and someone keys them into Holded or SAP. The monthly client report on hours and cases gets copied by hand from the internal system into a Word template. Legal and response deadlines are tracked in Outlook calendars that depend on no one going on holiday. It’s serious work, but no partner wants expensive people doing it.

We design automations that run without anyone starting them: they read the inbox or SharePoint, extract the fields, validate against your rules, write to HubSpot, Salesforce or the ERP, and leave an audit log on every decision. Only what genuinely needs professional judgement ever reaches you.

Implementation contract

How it runs in production

Workflow and actors

Invoices, timesheets, contracts, deadlines and bank movements enter separate workflows. Operations supervises the queue, back office validates loads and the responsible partner receives only decisions or exceptions requiring professional judgement.

Systems and data

Holded or the billing system connects to SharePoint, Microsoft 365, the matter manager and the time, contract and bank-statement sources required by each workflow.

Exceptions and risks

Low-confidence invoice fields, mismatched totals, unvalidated hours, ambiguous clauses, conflicting deadlines and unmatched bank movements are blocked before any write or notification.

Human review

Back office approves uncertain invoices and reconciliations; the matter owner validates reports and contract compliance; the partner retains decisions on critical deadlines and client communications.

Implementation pattern

Scheduled and event-driven processes with explicit rules, per-field thresholds, a review queue and an input-decision-output trail. Workflows are deployed and measured independently.

Relevant integration

Holded or the billing ERP with SharePoint and Microsoft 365, plus the matter manager, calendar and banking source already used by the firm or consultancy.

Finance

Invoice and expense extraction with validation

Reads supplier invoices and receipts in PDF, image or XML from email or SharePoint, extracts header and lines, cross-checks against the purchase order and stages the entry in the ERP, with a review queue for ambiguous cases.

Modelled target: 98% accuracy · −85% load time
Client

Automated hours and case reporting

Generates the monthly per-client report from the time-tracking and case-management systems, drafts the executive summary in your template and drops the document into SharePoint or Notion for review.

Modelled target: 1 day/month back per partner
Compliance

Contract compliance review

Compares incoming contracts against the firm’s standard clause library, flags deviations citing the paragraph and reference version, and opens the issue in Microsoft 365 for the responsible owner.

Modelled target: 100% contracts reviewed pre-signature
Deadlines

Legal and contractual deadline monitoring

Watches procedural deadlines, contractual expirations and recurring obligations in the practice management system, escalates ahead of time to the owner and creates the task in HubSpot or the team calendar.

Modelled target: 0 missed deadlines in production
Treasury

Bank movement reconciliation

Cross-references bank transactions with issued invoices, advances and expense notes in the ERP, flags differences and prepares the journal entry, ambiguous cases route to human review.

Modelled target: −70% month-end close time
Illustrative composite scenario · modelled figures and targets, not client results

A consultancy of 60 fee-earning professionals.

Consulting firm with recurring clients, monthly project billing and a back-office team of three. Illustrative composite scenario; the figures below are a modelled baseline and targets, not measured client results.
Modelled baseline

Baseline assumption: Three people dedicated to keying invoices into Holded, producing the monthly hours report for each client and tracking contractual deadlines in spreadsheets. Month-end close on day 12. Client reporting two weeks late. Missed deadlines counted each quarter by the responsible partner.

Modelled target

Modelled operating target: 92% of invoices land in the ERP without intervention. The monthly per-client report is generated and sits in SharePoint by day 3, ready for the partner to review. Critical deadlines are escalated automatically with 14 days of margin. The back-office team moves from mechanical work to exception handling and internal client support.

Modelled target: −82% non-billable admin hours
Frequently asked

What clients ask us

  • 01

What about confidentiality of client documents?

Deployment is in your tenant, Microsoft 365, Google Workspace or private infrastructure. Data does not leave your perimeter and models are not trained on your information. Every decision is logged with the source document and the user or system that authorised it, ready for internal or client audit.

  • 02

Does it integrate with our existing legal or accounting PMS?

Yes. We work on top of Holded, A3, Sage, SAP Business One, Aranzadi, Lefebvre and most management systems via API or intermediate connector. If your system only exposes a CSV export or web module, we integrate through that channel. The rule is no forced PMS migration to get started.

  • 03

How do we audit automated decisions if a client questions them?

Every workflow leaves a structured log: input document, extracted fields, rule applied, output and timestamp. You can reconstruct any decision months later and show the client exactly what the automation read and what it did with it. Cases routed to human review are also tracked with who approved what.

  • 04

What stays with a human in the loop and what runs unattended?

We define this with you during design. Recurring, low-risk work (standard invoice extraction, recurring reporting) runs unattended. Sensitive cases (non-standard clauses, amounts above a threshold, a new client) route to review with the context prepared so deciding takes seconds, not minutes.
