The AE opens a deal, reads three old notes, hunts down the last email, skims the customer’s website and only then drafts the next message. Every deal, every day. Meanwhile, form leads land in round-robin unenriched and sequences get built one by one by hand. HubSpot has the information, but somebody has to grab it, cross-reference it and write.
We build the connector against your HubSpot instance with OAuth when the app is distributed to multiple accounts, or a private app when it is scoped to one account. In either case, we validate the minimum scopes the use case requires. The agent reads deal context, properties and activity, writes back to HubSpot with idempotent operations and leaves an audit trail per note or engagement. Your native workflows stay where they are: we add an AI layer, we don’t replace it.

Every new lead is matched against firmographics, intent signals and web traffic. Fills account and contact properties, and flags low-confidence sources clearly so sales doesn’t act in the dark.
Reads the form, classifies by size, fit and urgency, and routes by playbook to the right owner. If the lead doesn’t fit, it tags it and proposes a nurturing sequence instead of parking it in a queue.
Takes a HubSpot list and generates sequences with copy tailored per segment, with different subject and body by account type. Your team reviews and approves before sending, the agent doesn’t send on its own.

HubSpot requires OAuth for apps installed in multiple accounts; a private single-account integration can use its static token. We request only scopes available on the tier and required by the flow (for example, crm.objects.contacts.read or crm.objects.deals.write), keep credentials out of code and document rotation and revocation.
We subscribe only to the object and property events that drive the flow. HubSpot batches notifications, limits concurrency and retries failed deliveries up to ten times over 24 hours, so we acknowledge quickly, deduplicate retries and periodically reconcile against CRM state instead of assuming exactly-once delivery.
Every agent write carries an operation hash in a custom property or a typed note. If the flow retries, we don’t duplicate the note or the engagement. Any auditor can trace what the agent did and when.
Limits vary by app distribution, account tier and endpoint; search has its own rules, and OAuth responses do not expose every daily-limit header. We monitor usage in the account's development tools, cap concurrency, batch where supported and apply exponential backoff with jitter for 429s and transient errors.
Standard sandboxes and copied production data depend on the subscription. If available, we test there; for apps we can use a developer test account, and when neither reproduces the flow we use controlled, reversible records in the authorised account. Production is enabled only after permissions, retries, duplicates and rollback have been exercised.

The AI layer coexists with your workflows: the agent reads and writes to HubSpot like any other user, and your native workflows keep firing as they always did. If at some point it makes sense to replace a manual workflow with one orchestrated by the agent, we propose it separately, with its own rollback plan.
We respect them. Before writing we audit which properties are calculated, which ones trigger native workflows and which ones feed reporting. The agent writes on free properties or on properties created for it, it doesn’t overwrite fields that depend on other systems. If a use case needs to modify a sensitive property, we discuss it before touching it.
It depends on the endpoints, objects, permissions, automations and test environment the use case needs. Before estimating, we check the account tier and official scope table; if a capability requires another tier or add-on, we document it as a constraint rather than assuming or adding it by default.
We agree the baseline, volume, quality and timing before the pilot. Each operation keeps an identifier in the connector log and, where the data model supports it, a related note or activity in HubSpot; this lets us reconcile confirmed actions with CRM reporting without presenting an illustrative target as a promised result.
